Five concise buying emails. No general newsletter.

1. Baseline today’s operational cost

If the current cost is unknown, every ROI claim is guesswork. Measure one normal month before vendors change the frame.

Order administration

Hours spent retyping, correcting and chasing order status

Visit leakage

Missed, late or unverifiable calls and the value of the lost coverage

Travel waste

Avoidable kilometres, route overlap and mileage disputes

Reporting delay

Hours merging spreadsheets before managers can act

2. Test the workflows that fail in the field

Offline first

Place and edit a real order with flight mode enabled, then restore connectivity.

GPS honesty

Show accuracy radius, point age, source and delayed-upload status—not only a pin.

Data onboarding

Import a messy customer and product sample with validation and a rollback path.

Stock rules

Test unknown SKUs, simultaneous orders, reservations and reconciliation.

3. Use a conservative ROI test

Monthly value = admin hours removed × loaded hourly cost + avoidable error cost + avoidable travel cost + conservative gross profit from extra productive visits. Subtract the full subscription, onboarding and integration cost.

Keep speculative revenue upside separate. A credible purchase should survive on hard savings and cautious assumptions.

4. Ask seven questions that expose weak claims

Ask for live evidence in your workflow. “Yes, we support that” is not a demonstration.

  1. 1What happens when a rep loses signal halfway through an order?
  2. 2How do you distinguish live GPS, delayed uploads and low-accuracy points?
  3. 3Can you import our actual customer and product sample during the evaluation?
  4. 4Show a duplicate or failed sync recovering without manual database changes.
  5. 5Which ERP, accounting and CRM connectors are native, and which need middleware?
  6. 6Who owns onboarding, data cleanup, integration monitoring and post-launch support?
  7. 7What is the full monthly and implementation cost for our actual team size?

Evaluate with your data, users and failure cases

A trial should prove onboarding, offline field use, manager visibility and integration boundaries before you commit to a rollout.
