How to Use This Calculator
1

Download and Set Up

Download the free template and enter your customer list with addresses. Group customers by area or suburb for efficient route planning.

Example: Group Johannesburg North customers: Sandton (4), Randburg (3), Fourways (2)

2

Plan Your Daily Route

Select customers to visit each day and arrange them in geographic order to minimise backtracking. Add estimated visit times and driving times between stops.

Example: Monday route: Sandton (9:00-10:30) → Randburg (11:00-12:00) → Fourways (12:30-13:30)

3

Execute and Record

During the day, record actual visit times, outcomes (order placed, quote requested, not available), and any follow-up actions needed.

Example: Visit 1: Arrived 9:15 (15min late), Order placed R12,500, Follow-up: Send invoice by Friday

4

Review and Optimise

At week's end, review your route efficiency. The template calculates total kilometres driven, time spent driving vs selling, and territory coverage percentage.

Example: This week: 380km driven, 62% selling time (target: 65%), 85% territory covered

Frequently Asked Questions

How do I plan the most efficient route?

Group customers by geographic area and plan your visits in a logical sequence to avoid backtracking. Start from your depot or home, visit nearby customers first, then work outward. The template includes a column for estimated driving time between stops to help you plan realistically.

Can I use this with Google Maps?

Yes. Enter your planned stops into Google Maps to get turn-by-turn directions and accurate driving times. Some reps copy their daily customer addresses from the template directly into Google Maps or Waze for navigation.

How many visits should I plan per day?

Most field sales reps in South Africa can comfortably manage 6-10 customer visits per day, depending on meeting duration and driving distances. In urban areas like Johannesburg or Cape Town, plan for 8-10 visits. In rural areas, 4-6 visits may be more realistic.

What if a customer isn't available when I arrive?

Record 'Not Available' as the visit outcome in the template, note the reason if known, and schedule a follow-up. The template tracks these missed visits so you can identify customers who are consistently difficult to reach and adjust your planning accordingly.

When should I upgrade from a template to route planning software?

Consider upgrading when you have more than 5 reps, need real-time GPS tracking, want automatic route optimisation, or need managers to see live field activity. SalesPro Hub's route planning feature automatically calculates the most efficient route and adjusts for traffic and cancellations.
